Defer or reschedule your scheduled final assessment (exam) If you can’t complete a scheduled final assessment during the time it is set in Allocate+ due to exceptional circumstances, you can apply to defer it (or reschedule it if you’ve already deferred it). View Close Before you apply View When you should apply You can apply to defer your scheduled (in Allocate+ timetable) final assessment if you couldn’t complete it on the set date due to exceptional circumstances beyond your control. If you’ve already deferred your assessment (exam) but still need more time due to unresolved circumstances or new extreme circumstances, you can apply for a rescheduled deferred assessment if you meet the stricter eligibility requirements. Make sure you apply by 11.55pm on the date your final assessment is set. Keep in mind, you can’t take a supplementary assessment if you complete a deferred or rescheduled assessment. When you should apply for an extension instead If you have a non-scheduled final assessment due on the same day you have to sit a scheduled final assessment, you can apply for a short extension for the non-scheduled assessment (but you can’t defer your scheduled one). Deferring your assessment Rescheduling your deferred assessment Eligibility for deferred assessment You may be eligible to defer your scheduled final assessment (exam) if you couldn’t complete it on the set date due to exceptional circumstances beyond your control. Here are exceptional circumstances that may make you eligible for a deferral: medical condition (including COVID-19) mental health condition loss or bereavement family (relationship breakdown) gender-based violence victim of crime or concerns about safety financial/employment issues military, jury or emergency services obligations obligations as athlete, artist or performer registered with Elite Student Performer Scheme or as representative of University in other key events and programs religious or cultural obligations technical disruption disruption caused by international conflict other exceptional circumstances beyond your control . When you're not eligible We can’t give you a deferral for things like: losing your Moodle access because you didn’t complete a compulsory module technical issues you might have avoided by uploading the correct files, allowing enough time for uploading and having the right equipment a brief interruption to power and/or internet service where you’re given additional time to complete your assessment missing your assessment due to mistaking its set date, time or location representing a club or society as a volunteer. Long-term or ongoing circumstances If you’re affected by long-term or ongoing circumstances, such as a recurring medical condition, we encourage you to register with Disability Support Services (DSS) . DSS can support you with reasonable adjustments. Impacts on your results and enrolment View Close Prerequisite units View If you’re sitting a deferred assessment for a unit that is a prerequisite for another unit you’re enrolled in, you’ll need to pass your deferred assessment to stay enrolled in that unit. If you fail the unit, your enrolment in the subsequent unit will be invalid and cancelled by the faculty (this is because you won’t have met the academic requirements to remain enrolled). Some faculties won’t allow you to enrol in a unit if you have a deferred (DEF) grade for a prerequisite, so having an interim result (DEF grade) while you wait to see if you passed might affect your enrolment. This won’t be a problem if your deferred assessment results are released before re-enrolment closes (and you passed), but for some teaching periods, you may receive your final grade after the cut-off for enrolment. If this happens, don’t worry, just get in touch with your faculty or reach out to Monash Connect and they will let you know what you need to do. For details about your course structure, take a look at the Handbook (make sure you check the Handbook for the year you started your course). You can also check the Handbook for the current year for unit prerequisite and co-requisite information. If you have questions about re-enrolment, concerns about your academic progress or need support, contact your faculty or request course advice . Unwell during your assessment You generally won’t be eligible to defer your assessment if you’ve seen and/or attempted to answer questions on your scheduled final assessment (exam). View Close eExams View If you become unwell during a deferred eExam assessment, you must alert your online supervisor or contact the exam support hotline . If you don’t inform your supervisor or contact the exam support hotline we may not consider your application to defer your assessment. On-campus final assessments (eExams) A medical support staff member can assess you and, if necessary, provide written confirmation that you’re unfit to continue and complete your assessment. You’ll need to provide a copy of this written confirmation with your application – along with supplementary supporting documents verifying your condition at the time of the assessment – to be eligible to apply to reschedule the assessment. Off-campus final assessments (eExams) Once you’ve notified exam support , a Monash medical support person will discuss your situation over the phone. If you’re unable to continue with your assessment, they will advise you on what you need to do if you intend to apply for special consideration. Exam medical support staff are available during final assessment periods only. Department-run assessments View If you’re sitting a deferred department-run assessment, you’ll need to advise your Chief Examiner that you’re unwell and arrange to see a medical professional as soon as possible. You need to get a medical certificate (or an approved alternative) from your doctor or a campus health service to be eligible to reschedule your deferred assessment. The medical certificate must demonstrate that you were affected by a medical condition during the assessment, making it impractical for you to continue or complete the assessment. Missed your assessment If you missed the assessment because you were unwell, or because of some other exceptional circumstances, you need to provide supporting documents. For example, you need to immediately get a medical certificate (or an approved alternative) from your doctor or a campus health service to be considered eligible to defer your assessment. How to apply You should apply as soon as you’re aware that you can’t sit your scheduled final assessment (after timetable release ) but no later than 11.55pm on the set date for your assessment . Make sure you attach all required supporting documents as evidence of your exceptional circumstances. If you don't have your supporting documents yet, check how to submit your application without supporting documents and provide them later . If you're registered with DSS, you’ll still need to provide supporting documents . Apply to defer your assessment Outcome We'll email you the outcome of your application within two University working days as long as you’ve submitted a complete application with all the required supporting documents. View Close Successful applications View If your application is approved, we’ll defer your scheduled final assessment and you’ll get an interim DEF (deferred assessment) result. This may affect your enrolment in the next teaching period if your unit is a prerequisite. You’ll need to make sure you’re available to sit your assessment. Your assessment will be held during the deferred assessment period unless your faculty decides to offer you an alternative assessment – in that case it’ll be due at an alternative time. You’ll get an email with information about your assessment date, time and location once it’s available. If your deferral application has been approved, but you decide to go ahead and sit your assessment on its original set date, the deferral is no longer valid. If you complete a deferred assessment, you won’t be eligible for a supplementary assessment. Time zone differences If you have a scheduled final assessment or you’re approved for a deferred assessment and are participating in a Monash program overseas or interstate (e.g. GIG), you’re still expected to complete your deferred assessment on the scheduled date and time – even if it overlaps with your program. If you’re in a time zone where your final assessment is scheduled to start before 5am or finish after 12.30am in your local time, you can apply for special arrangements to have your assessment start time moved to the next suitable timetabled session. If there isn’t another suitable session on the same day, you’ll have to sit your deferred assessment at the time it is scheduled. Unsuccessful applications View If we don’t approve your application and/or you didn’t sit your scheduled final assessment on the original date, your final grade will be based on your marks for other assessments you’ve completed for that unit. You may wish to get support and advice . Eligibility for rescheduled deferred assessment Before you apply to reschedule your deferred assessment (exam), make sure you carefully check all requirements. They are not the same as the ones that you needed to defer your assessment. To be eligible, you must: have an ongoing disability registered with Disability Support Services (DSS) that directly prevented you from sitting your deferred assessment (such as a serious and debilitating medical condition or severe mental health condition ) – see DSS-registered condition for details – or show that the exceptional circumstances approved for your deferred assessment have not yet been resolved by providing updated supporting documents or provide evidence of one or more of these extreme circumstances beyond your control: serious and debilitating medical condition severe mental health condition loss or bereavement: death of a person with whom you had a significant relationship military, jury or emergency services obligations gender-based violence disruption caused by international conflict other extreme circumstances . Additionally, you need to submit both your application and supporting documents in time for us to reschedule your assessment and for you to complete it within 90 calendar days of results release for the original assessment period (see successful application ). We may ask you to show that you can complete a rescheduled assessment within this timeframe. If you’re eligible for a rescheduled deferred assessment, but can’t pass your unit even if you successfully complete your assessment, we recommend that you instead apply for a Withdrawn (WDN) grade if you meet the criteria. Impacts on your results and enrolment View Close Prerequisite units View If you’re sitting a rescheduled deferred assessment for a unit that is a prerequisite for another unit you’re enrolled in, you’ll need to pass your rescheduled assessment to stay enrolled in that unit. If you provide your documents too late for us to reschedule your assessment within 90 calendar days of the results release date of your original assessment period, we’ll grant you a Withdrawn (WDN) grade for the unit. You may wish to get support and advice . Other things to know View If you can’t complete your rescheduled deferred assessment on the rescheduled date, you won’t be able to reschedule it again . However, if you let us know ahead of time that you’re not able to complete your rescheduled deferred assessment, we’ll consider you for a WDN grade (provided you’re eligible). Otherwise we’ll finalise your grade by converting your interim DEF result to a final grade based on your marks for other assessments you’ve completed for that unit. Your managing faculty may place conditions on your enrolment, such as: limit to the credit points you can enrol in for a specific teaching period mandatory enrolment in specific units requirement to successfully pass specific units or a number of credit points. If a condition applies, your managing faculty will let you know. Late applications We won’t accept an application for a deferred or rescheduled assessment after the deadline (11.55pm on its set date) unless you can show with supporting documents that exceptional circumstances beyond your control prevented you from applying on time (e.g. you might have been hospitalised with a serious illness). Once results are released , we won’t accept any applications to defer or reschedule assessments.
