Academic records (transcripts) An academic record (or transcript) is a formal record of your academic history at the University. You’ll get a free transcript, in digital format, when you graduate. Your record usually includes all unit attempts and your grade for each unit. If you were enrolled in more than one course, it lists all courses and all units studied at Monash. You can also request a hard copy transcript for a specific course only – we’ll include a statement that the document is not a complete record of all your studies at Monash. Unofficial record You can view an unofficial record of your results (unless you're encumbered) in the: Web Enrolment System (WES) Student Portal Monash Study app . Past students Use the WES (login) for past students . If you studied before 1997, you may not have access to your unofficial record in WES. If you receive an error when trying to order a transcript, contact Monash Connect . Official record You can order and pay for an official record at any time during your studies. Digital copies are faster to receive and cheaper than hard copies. Digital (My eQuals portal): $26 Hard copy (standard mail): $53 Courier fee (contact Monash Connect for exact fee based on location) in addition to hard-copy fee: $31–$93 Ordering a record after completing your course To get a complete record after completing your course, you need to be course completed. This isn't the same as completing your course and your faculty does this to verify you have met all requirements of the course. You can check your course completion status in our virtual assistant (VA). It only takes a moment and you’ll need to be logged in to your Monash student account. Digital format Current students Graduates Past students If you’re currently enrolled at Monash University, you can buy an official academic record in digital format. You’ll also be able to provide potential employers (and other people) with a link so they can view a verified copy of the transcript online. How to order your digital record You’ll need to have signed up to My eQuals to receive any digital documents. To order your academic transcript: Log into the Web Enrolment System (WES) . Order and pay for your transcript. Within one working day, you'll receive your transcript in My eQuals . Access your transcript in My eQuals (you’ll receive an email with instructions). Make sure your My eQuals account is linked to Monash University, otherwise you won't be able to access your academic record. In the week following your graduation round, you’ll receive your official academic record in digital format. We'll email you once it’s available. For more information, see how to view your graduation documents . As a past student, you can buy your official academic record (transcript) in digital format. Before ordering a transcript, you’ll need to check your details are up to date in the Web Enrolment System (WES). Log into WES . Select Address update > Postal address to check your postal address, and update it if needed. Provide your personal email address. Your digital transcript will be issued to My eQuals using your personal email address. Just make sure your My eQuals account uses the same email address (otherwise you won’t be able to see your transcript). How to order your digital academic record Once you're in WES : Order your digital academic record (transcript) Tick the checkbox to agree to the terms and conditions Click Submit Request You’ll see a request summary and be asked whether you want to make another request To complete the transaction, click No, Finish Transaction Enter your credit or debit card details and click Pay Now . Within one working-day, your record will become available in My eQuals. You'll receive an email with instructions on how to set up your My eQuals account and collect your digital transcript. Verify your email address in My e Q uals Before viewing your documents, you’ll need to make sure your personal email address is verified in My eQuals: Log into My eQuals . At the top right of the screen, select your name to see a drop-down menu. Click Profile settings . Under Email accounts , check that your personal email address is either verified or primary . How to use My eQuals View Close Signing up to My eQuals View Current students Sign up to My eQuals using your Monash email account (choose Monash as your institution). Check your email for how to activate your account. If you don’t see the activation email, check your spam folder or click Can’t sign in? Once your account is activated, log into My eQuals . Link your account to your personal email You’ll need to link your account to a personal email address so you can access your documents after you graduate. To link your personal email: Log into My eQuals . Click on your name on the top-right corner of the screen. Go to Account settings . Under Email accounts : Select Link another email . Enter your personal email address. Click Add . Check your inbox for the verification email from My eQuals and select Verify . Graduates and past students Sign up to My eQuals using your personal email. Check your email for how to activate your account. If you don’t see the activation email, check your spam folder or click Can’t sign in? Once your account is activated, log into My eQuals . You’ll also need to link your My eQuals account to Monash University to be able to access your digital documents: Log into My eQuals . At the top of the screen, select your name to see the drop-down menu. Click Account settings . Under Education provider accounts : Click Link Account . Select Monash University as the institution. Click Continue . Log into your Monash University account when prompted (this will link your account). If you’re a past student, you can buy digital letters for up to 12 months after you’ve been course completed. Sharing your digital documents View You can share your documents in My eQuals in a number of different ways: Option 1 : Go to the Documents screen and click Share in the Actions column. Option 2 : Open the document and click Share . Option 3 : Create a learner profile in My eQuals, which includes your name, some details about you (including a photo, if you’d like) and the documents you want to share. Then share your profile. See this video for instructions. Your privacy View For details on how My eQuals collects and handles your personal information, see the My eQuals HES Privacy Policy . My eQuals troubleshooting If you can't log in because you've forgotten your details, you can recover your login through the My eQuals portal – just select Can’t sign in? on the login screen. If this isn’t the problem, there could be a few reasons why you’re not able to log into My eQuals. You need to sign into My eQuals with the personal (non-Monash) email address you provided in WES when you applied to graduate. You’ll receive an email a few weeks after your graduation round confirming the email address you need to use. You’ll only be able to log in and see your digital transcript if your My eQuals account uses the same personal email address you have in WES. Haven’t received the email If you're unsure what non-Monash email you provided, and you haven't received the email with your sign-up details, check your email spam folder. If it's not there, contact Monash Connect for help. Changed personal email address If you’ve changed your personal email address and now you can’t sign into My eQuals, get in touch with Monash Connect . Make sure you’ve verified your email address: Log into My eQuals . At the top right of the screen, select your name to see a drop-down menu. Click Profile settings . Under Email accounts , check that your personal email address is either verified or primary . New (or soon to be) graduates If you’ve signed into My eQuals and can’t see any documents, it could be because: it's too soon for you to access them. Your graduation documents will be available a few weeks after your graduation round – you'll receive an email when the documents are ready. If you don’t get the email, check your spam folder. If it's not there, contact Monash Connect you signed into My eQuals with your Monash username and password instead of the personal (non-Monash) email address you provided when you applied to graduate – the documents will be issued to your personal email address. Past students If you’ve signed into My eQuals and can’t see any documents, it could be because: you don’t have any digital documents you haven’t linked your existing My eQuals account to Monash University. If you bought an academic record, you might not be able to see it because: the personal email address you provided in WES and the email address used in your My eQuals account don’t match. Log into WES to make sure your personal email addresses match. If they don’t, you’ll need to link your My eQuals account to the email address you have in WES it hasn't arrived yet. Once it's in My eQuals, you'll receive an automated email confirming your academic record is ready. If you haven't received this email within a full working day, check your spam folder. If it's not there, contact Monash Connect . Past students (who graduated before 2017) You can access your academic record (transcript) in My eQuals – for step-by-step instructions, see our academic records (transcripts) page . Other documents like your testamur and AHEGS are only available in hard copy. For instructions, see: award certificate (testamur) graduation statement (AHEGS) . Hard copy format You can order and pay for a hard copy academic record in WES , which will be sent by mail. After paying, you can check the progress of your order online. Hard copies take five to ten days to deliver (or three to five weeks if you’re overseas). For faster overseas delivery, you can make a payment and arrange for Express Post delivery by calling Monash Connect on +61 3 9902 6011. This can take up to two weeks. Past students You can order a hard copy online using the WES (login) for past students . If you attended or completed your course before 1997, allow three to four weeks for delivery. About your academic record Your academic record has the following information about you: student name and ID number date of issue course and unit titles of: units you've completed units in which you're currently enrolled units you've withdrawn from outside the census periods units with a fail grade years of study and teaching periods credit points marks and grades qualification and graduation dates credit for prior studies and unit exemptions areas of study (extended majors, majors, minors and specialisations for some courses) grade point averages (GPA) weighted average marks (WAM) If a unit is marked as Incomplete on your academic transcript, it simply means the result isn't available yet. Masters awarded with distinction From 6 October 2021, a student graduating with a master’s degree by coursework with a WAM of 80 or above will see ‘awarded with distinction’ on their transcript. Credit points not showing for some unit exemptions Sometimes exempted units listed in your academic record don’t have credit points attached. This is because you’ve been exempted from studying a particular unit (based on prior study), but you’re required to complete another unit in its place. Your academic record confirms your progress or, when you're complete, your final qualification. You can use it to: apply for jobs support applications for scholarships or further study register with government or private bodies.
