If you require a formal document from the University (for example, to verify your current enrolment, qualification, or graduation), you can buy an official University letter.

Research students

If you’re a research student, you can request a letter using the Research Enrolment Verification form, to confirm your current candidature and any research scholarship details.

Coursework students

Digital letters

Digital letters are cheaper than hard copies, have additional information, and arrive within minutes. A digital letter is an official Monash document and has a certified status when shared electronically through My eQuals – but not when printed or exported to PDF. You can buy digital copies of the following letters through our virtual assistant:

  • Enrolment Verification (proof of current enrolment)
  • Proof of Graduation
  • Proof of Qualification.

To buy a digital letter, you’ll need to have an active Monash account, so you’ll still be able to buy digital letters up to one year after you’ve completed your course. After that time, you’ll only be able to buy hard copy letters (through WES).

After you order your letter, you’ll get two emails: one with a receipt and one with a link to My eQuals (you’ll need to sign up to My eQuals to access your digital letter).

How to use My eQuals

Signing up to My eQuals

Current students

  1. Sign up to My eQuals using your Monash email account (choose Monash as your institution).
  2. Check your email for how to activate your account. If you don’t see the activation email, check your spam folder or click Can’t sign in?
  3. Once your account is activated, log into My eQuals.

You’ll need to link your account to a personal email address so you can access your documents after you graduate.

To link your personal email:

  1. Log into My eQuals.
  2. Click on your name on the top-right corner of the screen.
  3. Go to Account settings.
  4. Under Email accounts:
  5. Check your inbox for the verification email from My eQuals and select Verify.
  1. Select Link another email.
  2. Enter your personal email address.
  3. Click Add.

Graduates and past students

  1. Sign up to My eQuals using your personal email.
  2. Check your email for how to activate your account. If you don’t see the activation email, check your spam folder or click Can’t sign in?
  3. Once your account is activated, log into My eQuals.

You’ll also need to link your My eQuals account to Monash University to be able to access your digital documents:

  1. Log into My eQuals.
  2. At the top of the screen, select your name to see the drop-down menu.
  3. Click Account settings.
  4. Under Education provider accounts:
  1. Click Link Account.
  2. Select Monash University as the institution.
  3. Click Continue.
  4. Log into your Monash University account when prompted (this will link your account).

If you’re a past student, you can buy digital letters for up to 12 months after you’ve been course completed.

Sharing your digital documents

You can share your documents in My eQuals in a number of different ways:

  • Option 1: Go to the Documents screen and click Share in the Actions column.
  • Option 2: Open the document and click Share.
  • Option 3: Create a learner profile in My eQuals, which includes your name, some details about you (including a photo, if you’d like) and the documents you want to share. Then share your profile. See this video for instructions.

My eQuals troubleshooting

  • If you can't log in because you've forgotten your details, you can recover your login through the My eQuals portal – just select Can’t sign in? on the login screen.If this isn’t the problem, there could be a few reasons why you’re not able to log into My eQuals.You need to sign into My eQuals with the personal (non-Monash) email address you provided in WES when you applied to graduate. You’ll receive an email a few weeks after your graduation round confirming the email address you need to use.You’ll only be able to log in and see your digital transcript if your My eQuals account uses the same personal email address you have in WES.Haven’t received the emailIf you're unsure what non-Monash email you provided, and you haven't received the email with your sign-up details, check your email spam folder. Hard copy letters

You can order a hard copy and pay through the Web Enrolment System (WES). Documents ordered through WES are sent by standard (non-express) post and aren't trackable.

You should normally receive your letter within five University working days, but allow 10 to 15 days if:

  • the letter needs to show predicted completion or graduation dates
  • your faculty needs to assess your application
  • you attended or graduated before 1997.

Delivery overseas

For faster service, you can request delivery by courier. Contact Monash Connect for the exact fee, based on your location.

Courier fees are additional to the price of the letter and range between $31–$93. Hard copies may take three to five weeks to arrive.
