You must ensure that you have a valid student pass and/or i-Kad at all times, and renew it on time to avoid having the need to temporarily suspending your study and returning to your home country.

It is mandatory for you to submit your student pass and/or i-Kad renewal at least three months before its expiry date. We advice for you to set a reminder in your device to avoid missing this important deadline.

Conditions of Student Pass and/or i-Kad Renewal

As a condition of the renewal of your student pass and/or i-Kad, the Immigration Department of Malaysia has set the following requirements:

Coursework

  • Achieve a minimum academic score of CGPA 2.0 (50 WAM);
  • Attain a minimum 80% attendance rate throughout the duration of their studies;
  • Course complete within the full-time course duration as approved by the Ministry of Higher Education, in addition of up to one year for intermission, and
  • Be in good standing as determined by Immigration.

Research

  • Demonstrate satisfactory course progress;
  • Attain satisfactory attendance throughout the duration of their studies;
  • Course complete within the full-time course duration as approved by the Ministry of Higher Education, in addition of up to one year for intermission; and
  • Be in good standing as determined by Immigration.

If you have not met any of the requirements listed above:

  • You must submit your renewal application four months before your student pass and/or i-Kad expires; and
  • You must submit evidence or supporting documents, and an explanation letter for any medical or exceptional circumstances to support your renewal application.
  • Submit your application in the Student Pass Renewal form or i-Kad Renewal form (if you have a Student Pass validity of more than one year) and attach the following documents:*If renewing your Student Pass, your passport validity period must exceed at least 2 months of the renewal period (e.g. 14 months passport validity period if renewing your student pass for 12 months) calculated from the date of your current student pass expiry date.You will have to pay a fee to renew your student pass and/or i-Kad which includes the cost of your medical insurance. All international students will be covered with a medical insurance by an insurer appointed by Monash University Malaysia only. You may choose to be covered with additional medical insurance coverage through your personal policy in addition to our appointed insurer.The renewal process is estimated to take up to two months and you are advised to plan your travel accordingly as we will request for your passport which will be submitted to Immigration during this two months period.A Special Pass may be applicable to you if you are in Malaysia and your student pass has expired/ will be expiring in 14 days.
  • If you are an international student enrolled at Monash Malaysia and holding a Malaysian student pass, please read the following information carefully before applying for intermission or to reduce your study load.Time limits to complete a courseIf you're on a student pass, you must complete your course within the full-time course duration with a maximum allowance for intermission of up to two semesters or one year.Student pass renewals beyond the full-time course duration is subject to the discretion of Immigration Department of Malaysia.UnderloadIn an academic year, a full-time study load per year is 48 credit points (usually 24 credit points per semester). Most units run for a semester and have a value of six credit points.You may apply to reduce your study load to take no less than 18 credit points per semester for the following circumstances only:If you decide to enrol in less than 18 credit points per semester, you will need to apply for intermission.Applications to underload must be supported with documents/evidence.When you do not need approval to underloadFor underload applications, you won’t need to apply for approval if you are:IntermissionIf you have commenced your course and wish to take one or more teaching periods away from study, you must apply for intermission. You can apply to take a break of up to two semesters or one year during your course. This can be taken over consecutive teaching periods, or at different times.If you are approved for intermission due to medical-related circumstances, you may choose to remain in Malaysia during this time but must ensure that your Student Pass remains valid during this period. You must submit evidence of your medical circumstances from a registered medical practitioner in your intermission application.Should you be on intermission for any other circumstances, you must cancel your Student Pass and exit Malaysia during this period.Applications for intermission must be supported with documents/evidence.Returning from intermissionIf you have cancelled your Student Pass, you will need to re-apply for a new eVisa Approval Letter (eVAL) before returning to Malaysia from your intermission. Apply for your eVAL as early as 4 months but no later than 2 months before the semester commencement date.As you will have lodged an application for a student pass previously, your eVAL application must be submitted through the International Student Pass office only. Application details are available here (refer to Non-Direct Student Pass Application). We will contact and advice you on the eVAL application fee after you have submitted your application.
  • If you’re sure you want to discontinue from your studies, please submit a request here and proceed with the student pass cancellation process.
  • If your student pass has expired/will be expiring in 14 days from the date of your submission to ISP, you will be advised to apply for a Special Pass. A Special Pass ensures you have a valid pass while your renewal application is being processed and is issued at the discretion of Immigration.If advised by ISP to apply for a Special Pass, please submit the following documents to ISP, Building 2 Level 1:
  • If you are acquiring a new passport, you will need to apply for a transfer of your student pass from your old to the new passport as soon as possible. When you have a new passport, your student pass in your old passport is no longer valid.If you are due to renew your student pass at the same time as applying for a transfer of endorsement, please lodge a renewal with the new passport details before submitting your old and new passport to ISP counter located at Building 2, Level 1 together with the following documents:The Immigration Department of Malaysia usually takes approximately two (2) weeks to endorse a pass transfer. A processing fee will be applied, depending on your country of origin.
  • The student (principal holder) with a valid student pass sticker present in the passport before starting the process can apply for a Dependent Pass for their spouse, children under 18 years of age, legally adopted children under 18 years of age, or parents.All postgraduate students enrolled with a valid Student Pass can apply for Dependent Pass(es).Undergraduate students are only eligible to apply for Dependent Pass(es) if they are citizens of the following countries:More information from EMGS on entry for dependents and questions are addressed here.How and where to apply and renew Dependent Pass(es)?Please prepare the following documents based on the checklist and additionally, complete these forms and letter(s):During the collection of the Supporting Letter, please bring along all of your documents and original passport(s) to the ISP Counter at Building 2, Level 1 for vetting before heading to the Immigration Department of Malaysia for hardcopy submission at the following address:Jabatan Imigresen Malaysia (Shah Alam)Kompleks PKNSTingkat 2, Kompleks PKNS40000 Shah AlamSelangor Darul EhsanDo you have more questions? IMPORTANT Dependents must apply and ensure they have a valid pass at all times while in Malaysia. The University is unable to apply for any bridging pass(es) (Special Pass) for dependents. The approval of a Dependent Pass is at the discretion of the Immigration Department of Malaysia and the decision is final.
