Your responsibility includes making sure you do not stay beyond the expiry date stated on your student pass. Not complying with the regulations set by the Immigration Department of Malaysia is an offence.

You are also required to ensure that you co-operate with the University in fulfilling its student pass duties. This includes replying to any enquiries from the University relating to your student pass without delay.

1. Studying in Malaysia

  • The Immigration Department regulations have strict conditions for working part-time in Malaysia on a student pass:It is highly recommended that students have sufficient funds to support themselves during their studies in Malaysia and not rely on part-time employment.
  • All international students are required to be on a full study load (four units for coursework) unless due to exceptional circumstances that prevent them from doing so. If that is the case, please reach out to us and we will guide you on the next steps.

2. A New Student Pass Application

  • Yes, as required under the laws of the Malaysian Government.
  • Please initiate your student pass application here as early as 4 months but no later than 2 months before your course commencement date.
  • You must complete the Acceptance Form and initiate fee payment based on the steps here.Estimated New Student Pass Fees (12 months)*Visa fees vary by nationality and RM50 is the maximum amount.
  • You will need to begin your student pass application. Kindly refer to your offer letter (page 2) or this link for the next steps in submitting your student pass application.
  • You are encouraged to apply for a one-off student pass under the Direct Application category.However, if you have obtained a student pass before (eg: transferring from another institution in Malaysia), you have to opt for the one year (1) pass.Note: If you are an Indonesian student, you have the option to opt for either a two years (2) pass or one-off pass (3 years). Please note that the approval for the duration of your student pass application is within the discretion of the Immigration Department.
  • Non-Direct Application (NDA) - If you have initiated a Student Pass application in Malaysia, you will fall under this category. We will assist in lodging your student pass application on your behalf.Direct Application (DA) - If you have not initiated a Student Pass application in Malaysia, you will fall under this category. You must lodge your application directly with EMGS.Further steps based on the categories can be found here.*For Direct Applications, it is recommended to select a one-off pass (3 year pass).
  • Yes, you must renew your passport before you start your student pass application.
  • You can track the progress of your application here.
  • You must only complete the Health Declaration Form for the initial student pass application processing.
  • Go through this list of SEV required countries to find out if you require a Single Entry Visa (SEV). If you do, a list of Malaysian Missions is available here.
  • You can provide your documents through the ISP Helpdesk and we will forward the documents to EMGS. It will take approximately two to three working days to see the status change here.
  • Great that you’ve completed your medical screening within 7 days of your arrival in Malaysia!Next, please drop by the ISP Counter located at Building 2, Level 1, with the following items:IMPORTANTThe estimated Student Pass Endorsement processing time by the Immigration Department of Malaysia is 6 weeks. You are advised not to make any travel plans until your passport has been returned with your student pass sticker.

  • You must complete a post-arrival medical screening at an EMGS appointed clinic or hospital within the next working day upon arrival. Important note : All fees listed are subject to change and do not include any applicable SST charges. Students are responsible for any revised or additional charges imposed by the authorities.
  • Ensure you obtained a student pass sticker before opening a bank account. Please bring along the following documents with you to open a bank* account of your choice:1. Original passport with student pass sticker2. Monash Verification letter to open a bank account (kindly submit a request through SORS to obtain this letter)3. EMGS Verification Letter to open a bank account (a copy will be provided once a SORS bank verification letter request has been submitted)4. A copy of your offer letter5. A copy of your Visa Approval Letter (eVAL)*You may be required to make an appointment with the bank to open your bank account. Kindly contact the bank of your choice for this arrangement.
  • As a start, you can review the accommodations listed here as a reference. However, you can always choose any accommodation of your choice.
  • You must look at the EMGS's refund policy as refunds are based on different scenarios. The University will then transfer all refunds from EMGS to your student account once available.Direct Application: Please email the request for the cancellation and refund of your Student Pass Application to enquiry@emgs.com.myNon-Direct Application: Please complete the Course Discontinuation Form to initiate the cancellation of your Student Pass Application and refund your student pass application.
  • If the Immigration Department of Malaysia denies issuance of an electronic visa approval letter, you cannot continue your study plans at the University.
  • Please submit a new student pass application here and payment made. This process may take a longer turnaround time due to the consideration of the refund request process with EMGS.This is a gentle reminder that the approval of your eVAL is at the discretion of the Immigration Department of Malaysia.
  • If your eVAL has expired, submit a new student pass application here. 3. Insurance (Detailed information about medical insurance may be found here .)

  • Medical Insurance covers you from the day you arrive in Malaysia. It is highly recommended that you notify us of your arrival in advance.
  • You can find the information here and a detailed health insurance table of benefits here.
  • You will be issued an e-medical card. You may download and use Micare MyMed App to view your e-medical card. There will be no physical medical cards issued for AXA.
  • Yes. AXA International Student Insurance covers specialist treatment. But you must first get a referral letter from a general practitioner (GP) at a panel clinic. Please contact the AXA helpline at 016 345 5576 or MiCare 24-hour hotline at 1-300-88-9979.
  • Yes, payment may be made to non-Malaysian bank accounts but bank charges will apply. Note that bank charges can be expensive and sometimes may exceed your claimed amount.
  • No, it is not claimable.
  • Yes, reimbursement of claim will be credited directly to your local bank account. You are advised to NOT terminate your local bank account and have your online bank account remain active until you receive your reimbursement.
  • No, the medical insurance only covers you when you are seeking medical treatment in Malaysia.If you are traveling abroad for a University-approved program, you may be covered by the University travel insurance.If you are travelling abroad for personal reasons, you are encouraged to arrange your own health insurance to cover any medical treatment and costs incurred abroad.

  • Outpatient refers to medical treatment you receive without a formal admission into a hospital.Inpatient refers to medical treatment received once you've been formally admitted to a hospital. You may be admitted into a hospital as either a day or overnight patient.Please visit the Medical Insurance > Medical Treatment website for more information.
  • Call Centre is manned by Micare Sdn Bhd. 24 hours hotline is available at 1-300-88-9979.The call centre may assist you for the services below:1. Check your Guarantee Letter status2.   • AXA is the underwriter for all insurance policies for international students and Micare is the third party administrator that manages the Micare app and portal.
  • In the first instance, please write to the AXA Customer Service Department by sending an email to customer.service@axa.com.myIf you are not satisfied with the way any issue has been handled, you can:
  • No, all international students will be covered with medical insurance by an insurer appointed by Monash University Malaysia only.

4. Renewing Your Student Pass

  • No, you must apply through the institution.
  • Yes, as long as you have your original passport and complete your travel at least 4 weeks before your current student pass expires. This will allow you to submit your passport to the ISP Counter (Building 2, Level 1) within the stipulated timeline.
  • You can track the progress of your application here.
  • No, you can apply for a transfer of endorsement (eg: transferring the student pass sticker from your old passport to the new passport).
  • You should immediately seek advice from the ISP office at +703 - 5514 6070 or submit a ticket via the ISP Helpdesk.You will be required to provide documentary evidence to explain your circumstances.
  • As of 1 April 2023, students with an expired student pass are no longer eligible to continue with the renewal of the student pass application.Students outside of Malaysia with an expired student pass:Students must submit a new student pass application here and wait for a new eVAL before making arrangements to enter Malaysia.Students inside Malaysia with an expired student pass:Report to the ISP Counter (Building 2, Level 1) immediately as penalties or imprisonment can be imposed by the Immigration Department of Malaysia. We will advise accordingly.
  • You are most likely encumbered, please submit your renewal of i-Kad request here in order to be lifted from encumbrance.
  • Your application for renewal of student pass will be considered a late application.If your application for renewal of student pass is rejected by EMGS/the Immigration Department of Malaysia, you may be required to return to your home country and apply for a new student pass if this happens.*Students who overstayed in Malaysia must report to the ISP Counter (Building 2, Level 1) immediately.
  • If your application to renew your Student Pass is rejected, you will no longer be permitted to continue studying at Monash University Malaysia. You will have to either discontinue or intermit from your studies and leave the country.Once your Student Pass renewal application has been rejected, there is no avenue for appeal. This decision is made by the Malaysian Immigration Department and is final and non-appealable.Submission of a new student pass is possible after a rejection of the student pass renewal, but the decision to approve your student pass application is within the hands of the Immigration Department.
  • Student Pass endorsement refers to the stage of your Student Pass application where a Student Pass sticker is placed in your passport. It will contain your passport photograph and the expiry date of your Student Pass.
  • You should stay calm and listen attentively to the police officer. Seek clarification when needed. Produce your original passport, if you are asked to do so.If you have submitted your original passport to the ISP office for processing of student pass application, you should produce the original copy of the Payment Memo and/or Acknowledgement of Receipt – Passport.If the police request further proof of identity, you should inform him/her that you are a student of Monash University Malaysia.Contact the Monash University Malaysia emergency number at +603 5514 6333 for assistance.
  • Generally, the renewed student pass will be valid for 12 months. However, the approved duration by the Immigration Department of Malaysia may vary depending on your attendance and academic record.
  • We will only accept your passport if your student pass sticker has 14 days (or below*) left in validity. If your student pass is still valid, please hold onto your passport until we notify you to submit your passport to us over the counter (ISP Counter - Building 2, Level 1).The application for renewing your Student Pass takes place in stages. When you first submit your documents and pay for the Student Pass renewal fee, your application will be assessed. We will submit evidence to EMGS on your behalf that you have met the requirements set by the Malaysian Immigration Department for renewing your Student Pass.*Students who overstayed in Malaysia must report to the ISP Counter (Building 2, Level 1) immediately.

5. Cancellation of student pass

  • You must be physically present in Malaysia to submit your passport to cancel your Student Pass.
  • No, a Student Pass can only be cancelled by submitting your passport to the Malaysian Immigration Department and your immigration records are updated accordingly. This process of getting your Student Pass cancelled can take up to 4 weeks. This cannot be done at the airport when departing from Malaysia.When you depart from Malaysia, the Immigration officer will place an exit stamp on your passport. Please note that the exit stamp does not equate cancellation of your Student Pass.

  • If you require attendance reports from Monash University Malaysia, please submit a request via the online International Students Letter form here.
  • When submitting your passport to cancel your Student Pass, you will need to submit your confirmed flight details. In addition, it is against most courier companies' policy to accept passports to be sent abroad.

  • Cancellation of your Student Pass refers to the process whereby the Malaysian Immigration Department updates your immigration records that your Student Pass has been terminated. When your Student Pass has been cancelled, you will find that your latest Student Pass sticker has been amended to reflect that it has been cancelled.The process of getting your Student Pass cancelled can take up to 4 weeks.
  • Please refer to the intermission webpage and Student Pass cancellation webpage.You need to submit a request for cancellation of your current student pass and subsequently apply for a new student pass at least eight (8) weeks before the start of your returning semester.
  • You must submit a request for cancellation of your current student pass here and apply for a new student pass. Charges in respect of a new student pass will apply.
  • Please refer to the course discontinuation webpage and Student Pass cancellation webpage.You need to submit a cancellation of your current student pass request before you leave Malaysia.

6. Lost Your Passport?

  • You must lodge a report at the nearest police station within 24 hours.You need to apply for a new passport at the relevant Embassy or Consulate in Malaysia. You will be required to produce the police report.After obtaining your new passport, you can apply for a transfer of endorsement (i.e getting a copy of your current student pass sticker onto your new passport).Do contact the ISP office at +603 - 5514 6070 or via the ISP Helpdesk for further assistance and/or information.

7. Student Attendance for International Students (Detailed information about attendance requirements may be found here .)

  • International students are required to maintain an overall minimum attendance record of 80% and WAM 50. Both requirements must be fulfilled and is a condition of student pass renewals.You are advised to maintain satisfactory attendance and WAM throughout your studies. Unsatisfactory levels of attendance and grades for some units may adversely affect your overall attendance and WAM, which may in turn affect the renewal of Student Pass.
  • The system will notify you via email if:
  • You can check your attendance record for the current and previous semesters using the Attendance System.
  • Yes, it is mandatory for you to record attendance. Only students with Permanent Resident (MyPR) or Malaysian nationality card are exempted from this requirement.
  • Screenshot the error message and submit an enquiry to Ask Mira under the topic ‘Timetable and Attendance’.
  • If you discontinued a unit after the stipulated deadline (see Principal Dates), your attendance record for that unit will remain in the system to match the unit(s) on academic transcript.If you have discontinued a unit before the stipulated deadline and the unit still appears and prompts you to update the attendance (for that particular unit), please submit an enquiry to Ask Mira under the topic ‘Timetable and Attendance’.
  • The data will take a few hours to be updated in the Attendance System. Please ensure that you note down the attendance code and update it within 7 days from the teaching and learning activity.
  • YES. It is mandatory for all international students to record their attendance.The Ministry of Higher Education and the Immigration Department of Malaysia require all international students to maintain a minimum of 80% attendance and a minimum Weighted Average Mark (WAM) of 50 at all times.If you would like to find out more, click here to read about the Attendance Requirement.   • You will still have access to record your attendance. If you are unable to have your attendance recorded, please submit an enquiry to Ask Mira under the topic ‘Timetable and Attendance’ and provide your Monash ID, date/time of class for the relevant teaching activity/unit code.
  • Explain your absence via the link provided in the email with evidence within 6 working days.
  • Please inform your lecturer or tutor immediately.
  • Please submit an enquiry to Ask Mira under the topic ‘Timetable and Attendance’ and provide details of the classes such as Monash ID, date/time of replacement class and the unit code.
  • Attendance for replacement classes contributes to your overall attendance. It is your responsibility to attend all classes to maintain a minimum 80% attendance as a condition of your Student Pass renewal.
  • Yes, it is mandatory for you to fulfil the minimum 80% attendance requirements as long as you are enrolled as an international student in Malaysia and your course has not been completed.
  • Students who missed classes due to medical or extenuating reasons must provide a copy of valid supporting document(s) to the relevant lecturer/tutor and submit an enquiry to Ask Mira under the topic ‘Timetable and Attendance’. Students should keep the ORIGINAL document(s).
