Submitting your Passport
Step 1: Visit the ISP Counter
After completing the medical screening, proceed to the International Student Pass (ISP) Counter located at Building 2, Level 1, with the following items:
- Original passport
- A copy of the passport information page
- Three passport-sized color photos (white background, 3.5 cm x 4.5 cm)
- Completed IM12 form (only Sections A and B need to be completed)
- Proof of payment for the Special Pass fee (RM300), which also need to be submitted at the Finance Helpdesk
Once submitted, the ISP staff will issue you an acknowledgment receipt for your passport. Keep this receipt safe, as it will serve as your only form of identification until your passport is returned.
Step 2: Wait for Your Student Pass Sticker
Your passport, along with the student pass sticker, will be ready in approximately six (6) working weeks.
- Avoid making any travel arrangements during this time, as your passport must remain with the authorities for processing.
- Remember, even for domestic travel within Malaysia, you will need your original passport to present to airport authorities.
Step 3: Collect Your Passport
You will receive an email notification via your Monash email once your passport is ready for collection. Bring your acknowledgment receipt to retrieve it.
Step 4: Receive Your i-Kad
Your i-Kad will be issued approximately two weeks after you receive your passport. You will be notified by email when it is ready for collection.
The i-Kad serves as an identification card for international students. While it is a valid form of identification, it cannot replace your passport.
Attending the Orientation
The Monash Abroad Orientation, as mentioned in your offer letter, typically takes place the week before Campus Orientation Week (usually on a Thursday). This is to allow you to have ample time to settle into the Monash community and confirm your enrolment prior to the start of the semester.
After accepting your offer, you will receive a separate email with the details of your orientation, including the date, time, and venue.
We strongly encourage you to attend this orientation as it serves several important purposes:
- It allows us to note and record your arrival on campus.
- You will receive crucial information to help you settle in and navigate your experience.
- It’s a fantastic opportunity to mingle with peers from around the world who, like you, are attending Monash University Malaysia.
If you are unable to attend the Monash Abroad Orientation due to late arrival, you must report your arrival at the Student Hub, Building 3, Level 1 as soon as you can. Please bring along and show your passport for identification purposes.
